Access Chatham County Court Records

Start your Chatham County court records search with the office that keeps the file: the Chatham County Clerk of Superior Court. Chatham County court records cover case files, docket activity, and copies held for county cases. What you need determines the route. Sometimes a public Portal view is enough. Other times you need a hearing schedule, an in-person inspection, or a certified copy. Remember that access has limits, and a court docket is not the whole case file. For anything that must be exact, confirm through the Clerk, since the office that maintains the file speaks last.

Getting Chatham County Court Records

There are several official ways to reach Chatham County court records. The North Carolina eCourts Portal shows whatever is currently public: case results, case events, public documents, and a public Case Summary. For a hearing or session, use Portal Search Hearings along with the official calendar. The Chatham County Clerk of Superior Court handles inspection of public files. It also handles copies, certification, and the official local record. Statewide guidance also points to public self-service terminals in clerk offices for eligible criminal, civil, special-proceeding, and estate searches.

Mail works too. Send a case-specific request to the Clerk at P.O. Box 369, Pittsboro, NC 27312, or call 919-545-3500. The office sits at 40 E. Chatham Street, Pittsboro. Hours are weekdays from 8:30 a.m. to 5:00 p.m. One caution: a general NCAOC public-record request covers existing administrative records only, not Clerk-held Chatham case files.

  1. Identify the county, case number, and the specific record or question.
  2. Use Portal if a current public display may locate the case.
  3. Use Search Hearings or the current calendar for a date or session question.
  4. Contact the Chatham Clerk for inspection, copies, certification, or the official file.
  5. Use the NCAOC request form only for existing NCAOC administrative records.

Chatham Court Record Access Channels

Every Chatham court record channel serves one purpose. Portal Smart Search locates public information in an eCourts case. A civil or criminal calendar sets a session date. It does not certify the case record itself. The Clerk keeps the county paper files and anchors the official case-file route. A clerk-office terminal opens eligible statewide searches. Meanwhile, mail and phone help a requester reach the right local office. None of these replaces the others; they work together.

Court Record Types

A Chatham case record can be criminal, civil, special proceeding, estate, family, probate, mental-health, or another court category. The type shapes what the public sees. It also sets which court division handles it and the right access channel. The Chatham Clerk supports both the North Carolina Superior Court and District Court divisions. Even when the Portal display offers a convenient online start, the paper file stays in the county where it was filed.

Portal may show public case information, assignments, parties, events, dispositions, hearings, financial information when applicable, and public documents. Still, a search result is not necessarily the full file. A transcript, a recording, a certified copy, an inspection, and a calendar listing are each distinct forms of court information. Each has its own routes and limits.

Chatham Clerk Public-Terminal Records

When a Chatham court record is not fully visible through Portal, the Clerk's public self-service terminal matters. Statewide court-record guidance says clerk offices provide terminals that search criminal cases by name or case number, plus civil, special-proceeding, and estate information. Chatham does not publish a specific terminal room, count, queue practice, or appointment policy. For a time-sensitive visit, call ahead rather than assume a local procedure that is not listed.

The Clerk is a record custodian within the unified Judicial Branch, not a separate court level. That is why it serves as the local official route for both District and Superior Court case files.

Inside a Chatham County Court Record

A Chatham County court record holds more than a docket line. The public Case Summary groups its visible fields into Case Information, Assignment Information, Party Information, Cause of Action when applicable, Case Events, Dispositions, Hearings, Financial Information, and public documents. A Clerk-held file may also contain papers and official records that Portal never displays. What any particular document contains, and whether you can see it, depends on its case type and lawful access status.

Case identifierThe public number or reference that connects a record request to the Chatham file.
Assignment informationVisible division, courtroom, or assignment details in the public Case Summary.
Party and cause fieldsPublic party information and, for applicable categories, a Cause of Action.

Documents, finances, certificationPublic documents online when available; official copies and certifications come through the Clerk.

Chatham Portal View and Clerk Copy

Portal and the Chatham Clerk give you different things. Portal is a public display of a current visible result. The Clerk is the official file and copy route. A portal printout is not automatically a certified copy. A Portal financial field does not confirm a current official balance, either. When accuracy, certification, or completeness matters, the originating Clerk record controls.

The current Judicial Branch records guidance is the statewide source for this distinction.

Fees and Certified Copies

The January 1, 2026 statewide miscellaneous cost chart breaks copies and certification into separate components. It sets no single flat "certified copy" price for every Chatham court record. The first document page is listed at $2. Each additional page runs $0.25. A certificate under seal costs $3, and exemplification runs $10. Which components apply to a given request? The Clerk can tell you. Court filing-cost charts are not a blanket local copy-price list.

January 1, 2026 miscellaneous-chart itemListed amountImportant qualification
First document copy page$2.00A component, not a universal certified-copy total.
Each additional page$0.25Applies after the first page in the listed chart.
Certificate under seal$3.00May be a separate component of a request.
Exemplification$10.00A separately listed certification-related item.

Fees shift, so confirm the exact total with the Clerk of Chatham County court before you pay. The Judicial Branch keeps the dated figures on its current court-costs page.

Chatham NCAOC and Clerk Requests

The state office and the county Clerk serve different records. The NCAOC public-record request form covers administrative records. It does not cover case files sitting with the Chatham Clerk. NCAOC policy allows inspection without a fee. Copying its own records runs 25-cent-per-page, with possible notice of an extraordinary cost. Those are state policy numbers. They do not set the Chatham Clerk's fees. So treat them as NCAOC terms, never as a local file fee. Need a Chatham court record held in a case file? Contact the county Clerk directly. Need an administrative record NCAOC already keeps? Its form or written-request process is the right route. Describe the existing record clearly rather than asking the agency to create or compile a new one.

Sealed Records and Public Access

Most Chatham court files are open for inspection at the Clerk's office. The law carves out exceptions. A statute, a rule, or a court order can close a record. The Portal shows only public material. Juvenile confidentiality, civil sealing procedures, and law-enforcement or warrant limits can each change what a docket search returns. Ask whether this particular record is public now. Do not ask whether its category usually is. A blocked Portal result never explains itself.

Governing access rules.

G.S. 7A-109 establishes the Clerk-maintained court-record baseline.

G.S. 132-6 addresses reasonable public inspection and copying.

G.S. 1-72.1 provides civil-file access and sealing procedure.

G.S. 7B-3000 makes juvenile records confidential except as permitted.

Chatham Court Record Audio and Transcripts

A Chatham court record comes in several forms, and they are not interchangeable. Paper files, portal pages, transcripts, and audio all differ. Court reporters, transcriptionists, and digital recording technicians set their own transcript charges. There is no single rate. For a nonconfidential verbatim audio copy, form AOC-G-114 is the official request route when a record exists. AOC-G-115 is different. It is the court-order route for a confidential-proceeding transcript. Neither form guarantees that audio exists or may be released. Name the proceeding. Some District Court proceedings are not recorded unless a judge orders it, subject to the state's stated exceptions, so say which type of court record you need instead of assuming the Portal display contains everything.

Chatham County Court Record Cost Components

No flat price covers a Chatham court record. Copy, certification, transcript, and administrative-request costs each come from a different fee source. The miscellaneous chart lists document-copy and certification components. Transcript prices are individual. The reporter, transcriptionist, or digital recording technician sets them, and NCAOC keeps its own inspection and copying policy for administrative records. No single source prices every request. Before asking for an estimate, gather details. Have the Chatham case number, the document type, the page count if known, and whether certification or exemplification is needed. For a transcript or nonconfidential audio, identify the proceeding and use the official form. For a Clerk-held case file, call the Chatham Clerk. Keeping fee sources straight stops an administrative charge or filing fee from masquerading as a copy cost.
